How long do you keep email?

Postby richard mitnick » Mon 17 Nov, 2008 8:32 pm

I just cleared out some very old email, stuff I just keep, because, you know, I might need it to prove "but, on XX/XX/XXXX (date), you said....

You know what? Never happened, at least not yet.

So, shared some thoughts. Good habits, bad habits...

Hey Richard :)

Generally I create folders (i.e. family, business, church, orders and so forth) and then I drag e-mails that I "think" are relatively important into those folders. At the end of a year, I usually store the ones that I think are very important on my Yahoo account (in other words... on a web server). As for the rest... I generally dump about 90% of what I receive after reading it. And at the end of a year... I go through some of the saved mail and dump it as well. In short: I don't keep very much for like you, I've found I rarely (if ever) make use of it. BUT... you never know... do you!?!

In general, I don't delete emails I receive (except commercials or junk of course). I usually keep them as long as I can, until I re-installed the operating system (and too lazy to import back the email).

My e-mail archives go all the way back to 2005, and my IM conversations to 2006. I had been keeping both much longer than that, but lost the rest due to corrupted backups.

Recently I mirrored my old pre-Gmail e-mail messages to Gmail via IMAP, so that I have a centralized store of all my e-mail on their servers. I still keep local backups, but should something go wrong, they'll be on Gmail as well.

I also create folders, in fact, I create "threaded" folders which for some correspondents means in-bound an out-bound in one folder.

I have a couple which are huge, that is what I was thinning out.

I use Outlook for email. But, a number of people have had problems with especially outlook 2007. Too much saved email, basically a .pst file, and false error begin to be symptomatic of faltering software.

So, I spin off my saved mail to TBird, a much more solid but not as useful program.
(TBird can not accept graphics into the signature area, and I always have graphics in my signature. TBird's address book is from the dark ages [read Eurora], a full contact meaning that three-tab card.

I do the same. If I have emails of critical importance then I usually keep hard copies and electronic copies in a safe place.
